Damascus Citizens for Sustainability, a pioneering environmental nonprofit in the Upper Delaware River Valley, is seeking a detail-oriented and organized Administrative Assistant/Bookkeeper to support our Executive Director in advancing our critical work.

 

About Us

We are a grassroots organization that was the first on the East Coast to sound the alarm about fracking dangers, sued DRBC to keep liquid oil/gas frack waste from being dumped on roads in the Delaware River Basin, recently advocated to save the historic Skinners Falls Bridge, and currently working on waste stream/proposed incinerator issues in Sullivan County, NY. Our small but mighty team uses legal advocacy and community organizing to protect our environment and create positive change.

 

Position Overview

This part-time position (8-10 hours/week) offers flexible scheduling and is primarily remote, with approximately two to three visits per month to our Narrowsburg, NY office for hands-on administrative tasks and ad hoc community events.

 

Key Responsibilities

Administrative Excellence:

·       Scan documents and maintain organized Dropbox filing system

·       Handle diverse projects including outreach, appeals, and research initiatives with direction

·       Assist with Steering and Board of Directors meeting notes and follow-up task coordination

·       Review, sort, organize, and file paperwork and project materials

·       Create and maintain organized filing systems both physical and digital

Financial Management:

·       Maintain accurate bookkeeping records in QuickBooks Online

·       Generate quarterly financial reports for Board meetings

·       Support budget tracking and financial organization as requested

Database & Development Support:

·       Manage donor database entries and updates for annual acknowledgment campaigns

·       Input contact information into Constant Contact from events and email lists

·       Prepare and send donor thank-you correspondence

·       Assist with development software management (Little Green Light or other appropriate software experience a plus)

 

Project Coordination:

·       Support time-sensitive advocacy campaigns (such as our current Sullivan County incinerator opposition)

·       Conduct research and compile data for environmental initiatives

·       Prepare correspondence and maintain stakeholder communications

·       Professional communication skills for donor and stakeholder interactions

·       Self-motivated work style suited for remote work/work with minimal supervision

 

Technical Requirements

·       Proficiency in QuickBooks Online and/or other bookkeeping experience (essential)

·       Strong Excel skills for data management and transfer

·       Experience with email marketing platforms (Constant Contact preferred)

·       Development software knowledge (Little Green Light a plus) or ability to learn easily

·       Comfort with file management systems

·       Ability to take comprehensive notes/manipulate transcripts of Zoom meeting notes
